BAI's solutions, with the before-and-after scene in a business like yours. You will find them all in the solutions catalogue.

No customer left unanswered

  • Receptionist that quotes

Answers every call, notes what the client wants and books the viewing.

Answering the phone and WhatsApp without being tied to them

    Before

An agent is showing a flat in the afternoon. Within an hour three interested people call about another listing and they can't answer any of them.

    After

The receptionist answers all three, notes what they're looking for and books them a viewing.

    How it removes it
    1. The receptionist, an assistant with artificial intelligence, answers calls and WhatsApp on behalf of your business, with your greeting.

    2. If they ask for an appointment, it books it into your free slots and saves their details.

    Your phone stops ringing unanswered.

See how it looks in your business
  • Online booking and diary

The buyer books a viewing in a free slot of the agent's, linked to that flat.

Running the diary and appointments without paper or phone calls

    Before

A buyer wants to see a flat. The agent and the buyer swap five messages until they find a time that suits both.

    After

The buyer books the viewing in a free slot of the agent's, and the viewing is linked to that flat.

    How it removes it
    1. You create a booking page per service, with its length, your opening hours and the breaks between appointments.

    2. The customer chooses from the free slots, with no account and no call, and receives the confirmation.

Not one more appointment sorted out by message.

Convert and sell more

  • CRM for your business

Owners and buyers in one database, with their properties or what they seek.

    Managing my customers and suppliers

    Before

An estate agency has its owners in one spreadsheet and its buyers in another. Anyone who buys and sells at the same time appears twice.

    After

Owners and buyers are in the same database, each with their properties or what they're looking for.

    How it removes it
    1. You upload your customer spreadsheet and the duplicates are merged by their email and phone.

    2. Whatever arrives through forms, bookings or the chat is saved in that same record.

Every customer, one record with their whole history.

See how it looks in your business
  • Repeat customers

A yearly email reminds the client that you help people sell or let.

Getting customers to come back and managing the relationship with them

    Before

An estate agency sells a flat and never speaks to that customer again; when they sell years later, they do it with another agency.

    After

A year on, the customer receives an email reminding them that you help people sell or let.

    How it removes it
    1. Every visit, purchase or service goes into the customer's record, with what was done and when.

    2. For each service you decide when it makes sense to come back, and the invitation goes out by itself with its link.

Your customers come back without you having to remember.

  • Winning property owners

Each request goes straight into the owner funnel, marked as an owner.

Winning homes and owners who want to sell or let

    Before

A neighbourhood agency. An owner asks through the website for their flat to be valued; the request gets lost among calls and another agency wins the instruction.

    After

The request goes by itself into the owner-acquisition funnel, marked as an owner, and nobody forgets it.

    How it removes it
    1. Anyone who asks for a valuation on your website or by chat goes by themselves into your owner-acquisition funnel.

    2. You follow each lead through its stages, from the first call to the signed instruction.

No owner who asks for a valuation goes without a call.

Valuing a property well to convince the owner

    Before

The agent gives a price by eye at the first visit. The owner hesitates, and another agency shows them a valuation with data from similar flats.

    After

The agent arrives with a valuation made from comparable properties in the area.

    How it removes it
    1. The receptionist estimates the flat's value from comparable properties.

    2. The valuation stays on the owner's record, ready for the visit.

You arrive at the visit with data, not a price by eye.

  • Buyer matching

A new listing alerts the clients whose search it fits.

When a new flat comes in, I don't know which customers to tell

    Before

A penthouse with a terrace comes in. The agent calls the three buyers they remember; the one who fitted best finds out through a portal when it's already reserved.

    After

When it's published, it's matched against what each customer is looking for and alerts those who fit.

    How it removes it
    1. Every flat you publish is matched at once against your customers' open searches.

    2. Those who fit best receive an email alert, only if they gave their permission.

Every new flat reaches, by itself, whoever is looking for it.

I have a hundred flats and don't know which to show each buyer first

    Before

An agency with a hundred flats on its books. The agent shows the buyer three flats that don't fit, and the buyer gets tired.

    After

On the buyer's record, their flats appear in order, with what each one meets.

    How it removes it
    1. You see the flats that fit each buyer, in order, with their match percentage and the reason why.

    2. You decide what weighs more, such as price, area or terrace, and what's compulsory.

You show first the flat that fits best, and you know why.

Get found and get chosen

  • Professional website

A website with your portfolio, services and team, with details up to date.

Having a website for my business

    Before

A small estate agency only shows its flats on the portals, next to the competition's.

    After

Its website shows its portfolio, its services and its team, with its details up to date.

    How it removes it
    1. BAI designs your website with your brand, your services and your own domain.

    2. It connects it to your BAI space: your catalogue, your forms and your chat appear on it.

Your business, with a website that speaks for you.

  • Search engine ranking

A page for each area you work in, and how many people find you.

Showing up higher on the internet and getting found

    Before

A neighbourhood estate agency doesn't appear when someone searches for flats for sale in its area: only the big portals show up.

    After

Every area it works in has its own page, and each month it sees how many people find it.

    How it removes it
    1. BAI checks your website the way Google sees it: pages it can't find, titles and speed.

    2. It fixes what holds it back and prepares a page per service, with its title and its description.

Your website, prepared for what your area searches for.

  • Your Google Business Profile

Each review reaches you as a draft in the agency's tone; you decide.

Knowing what my customers think and replying to reviews

    Before

An estate agency gets a harsh review from a buyer who didn't get the flat, and nobody replies for weeks.

    After

The reply reaches the owner as a draft in the agency's tone, and they decide.

    How it removes it
    1. The reviews on your profile reach BAI, and artificial intelligence drafts each reply in your tone.

    2. The good ones are published by themselves if you allow it; the criticisms wait for you as a draft.

No review without a reply, and you decide on the criticisms.

  • Content and social media

Posts with a link, and which flats bring contacts from social media.

Being on social media and running ads that bring in customers

    Before

An estate agency posts its flats on Instagram and Facebook, but doesn't know whether any buyer came from there.

    After

Every post carries its link, and at the end of the month it sees which flats brought contacts from social media.

    How it removes it
    1. Every post invites one thing only, booking, ordering or writing, with its link.

    2. The link says which post each visit comes from and how many bookings each one brought.

Your social media, measured in customers who arrive.

See how it looks in your business
  • Campaigns that bring in customers

A campaign for the owners of one area, with its ad, page and QR.

Filling the quiet days and getting more customers

    Before

An estate agency wants to win flats in a new neighbourhood and puts leaflets through letterboxes without knowing whether anyone calls because of them.

    After

The campaign carries its ad for the owners in that area, its page and its QR, and it sees how many contacts it brings.

    How it removes it
    1. BAI prepares the offer, its ad for the people in your area and the page where people book.

    2. It's tested with a little, and only what brings bookings gets more budget.

You fill the quiet days with a measured offer.

Get paid and stay compliant

  • Invoicing and getting paid

Fees invoiced from the owner's record and chased automatically when due.

Getting paid by customers who don't pay or pay late

    Before

An estate agency closes a sale and its fees stay pending; nobody remembers to chase them until the quarter end.

    After

The fees are invoiced from the owner's record and chased automatically if they fall due.

    How it removes it
    1. When an invoice falls due unpaid, your customer receives a reminder with the invoice and the link to pay.

    2. If they pay by card, the payment is entered by itself and the reminders stop.

You collect what you've already earned without calling anyone.

  • Team compliance

Each agent's fixed pay and commission in a calculated payslip and the expenses.

Calculating payroll and keeping the accounts without mistakes

    Before

An estate agency pays its agents a fixed salary plus commission, and every month redoes each payslip's calculation by hand.

    After

Each agent's fixed salary and commission go into their payslip, calculated and entered in the expenses.

    How it removes it
    1. Every month, each person's payslip comes out calculated: gross pay, tax withholding and Social Security.

    2. You add what changes that month and its cost goes into your expenses by itself.

The month's payroll, calculated and in your accounts.

Automate your business

  • Ready-made automations

The agent is alerted at once, and the customer gets their email if they asked.

Taking admin work off my plate and organising the business's processes

    Before

A flat comes in that fits what a customer is looking for, and the agent finds out days later.

    After

The agent receives the alert at once, and the customer their email if they asked for it.

    How it removes it
    1. You choose what starts it: a new customer, a completed appointment or a payment.

    2. You decide what happens: send an email, wait, tag or create a task.

Write it once and stop remembering.

  • Custom automation

BAI studies your case and builds the automation for you.

Going digital without knowing where to start or having the time

    Before

An agent spends afternoons sending the same documents by hand to each interested buyer, and has no time to automate it.

    After

BAI studies their case and builds the automation; they decide when to switch it on.

    How it removes it
    1. You tell us what you do by hand every week and which tools you use.

    2. BAI designs and builds the automation; you decide when to switch it on.

You carry on with your work; BAI builds your automation.

  • Documents and e-signatures

Each sale's record on your phone, with all its documents.

Being able to work remotely and keep files in the cloud

    Before

An agent shows a flat and the buyer asks about the nota simple (the land-registry extract), which is on the office computer.

    After

They open the sale's record on their phone and its documents are there.

    How it removes it
    1. Every document is saved in your BAI archive, linked to its customer, sale, product or expense.

    2. You open it from anywhere, with your BAI login.

Your papers, to hand and in their place.

Your team, organised

  • Tasks and projects

Every flat with its tasks, and each agent measures their time from the phone.

Organising job sheets and my team's hours out on the road

    Before

An estate agency's agents do viewings and valuations out of the office, and nobody knows how much time goes on each flat.

    After

Every flat has its tasks, and each agent measures their time on them from their phone.

    How it removes it
    1. Every call-out is a task linked to its customer, with its steps, its photos and its time measured.

    2. The job sheet comes out with the customer's details and is signed when the job is done.

Every job with its sheet and its hours, without paper.

  • AI assistant

Ask the agency's assistant; nothing changes without your confirmation.

Using artificial intelligence in my business without risking my customers' data

    Before

An agent pastes an owner's details into a free chat to write an email.

    After

They ask the agency's assistant, inside BAI, and nothing changes without their confirmation.

    How it removes it
    1. The assistant answers with your business's data and documents, with the rigour you set.

    2. Before changing anything it shows you what it will do, and you switch the artificial intelligence off whenever you like.

Artificial intelligence in your business, on your terms.

Your stock and your products

  • Stock and inventory

Boards and viewing materials with a minimum, alerted before they run out.

Controlling stock and purchases from suppliers

    Before

An estate agency takes on a flat and has no "for sale" boards left to put it up.

    After

Boards and viewing materials carry their minimum, and the alert goes out before they run out.

    How it removes it
    1. You set the minimum for each product you track.

    2. When it drops below, the alert goes out and you see in a list what to reorder.

You find out before you run out.

See how it looks in your business
  • Property listings and portals

Each flat has its record: map, owner and keys noted.

Having one program that brings it all together: properties, customers, lettings and portals

    Before

An agency with eighty flats: some in an old program, others in spreadsheets. The keys to one flat are with someone on holiday and nobody knows.

    After

Every flat has its record with map, owner and keys noted.

    How it removes it
    1. Every flat has its record: transaction, features, map, owner and keys.

    2. Sales, short-term and long-term lets and new-builds live in the same portfolio.

Not one lost key, not one flat without a record.

Publishing my properties on all the portals without repeating the work

    Before

Monday, a flat comes in: the agent puts it on two portals, writes it up on the website and types it into Instagram. Once it's let, one portal goes on advertising it for three more weeks.

    After

They publish it once and it appears everywhere they choose; when they withdraw it, it stops being advertised.

    How it removes it
    1. You register the flat once, with its photos, and mark where it appears.

    2. The portals receive the flat and its changes without anyone typing them, and the ones you withdraw are archived by themselves.

You publish once and it appears everywhere.

An agency's questions

What about the owners' bank details?

They're encrypted, only whoever you decide can see them, and they're deleted after 180 days with no changes.

Can I advertise properties like any other product?

Not quite: housing ads are declared as a special category on Meta, which limits who they can be aimed at. BAI sets them up that way from the start.

Where do I start with my agency?

First. The platform (portfolio, matching and winning owners) and the website with the real portfolio, together. Then. The search ranking with articles by area and language, and campaigns with a QR code on every board.
