Tasks and projects

Your team knows what to do and you see how it's going.

A board per project or per customer, with each task carrying its owner, date, priority, checklist, comments and files or photos. Your team knows what to do and you see how it is going without asking.

  • Organising job sheets and my team's hours out on the road

Every job is a task with its customer; whoever does it measures their time and the customer signs the job sheet when it's done.

  • Using artificial intelligence in my business without risking my customers' data

Now you ask your business's assistant, an artificial intelligence for your team inside BAI, which answers with your data.

  • Organising my team's tasks and work

Every job has its board; each person sees their tasks with their date and receives an alert before it falls due.

  • Using artificial intelligence in my business without knowing how

You write to the assistant like a colleague, ask it for the list of this week's enquirers and receive it.

What you get with tasks and projects

  • Your team knows what to do today without you telling them.

  • You see how each job is going without a single meeting.

  • Every team conversation, next to its work.

Problems solved by tasks and projects

Organising job sheets and my team's hours out on the road

Before

Your team works away from the office, receives jobs by message and hands in the job sheets on paper every Friday. Nobody knows how much each job took.

After

Every job is a task with its customer; whoever does it measures their time and the customer signs the job sheet when it's done.

How it removes it
  1. Every call-out is a task linked to its customer, with its steps, its photos and its time measured.

  2. The job sheet comes out with the customer's details and is signed when the job is done.

Every job with its sheet and its hours, without paper.

Organising my team's tasks and work

Before

You keep your team's jobs on a whiteboard. Two people prepare the same thing and one delivery gets forgotten.

After

Every job has its board; each person sees their tasks with their date and receives an alert before it falls due.

How it removes it
  1. Every project or customer has its board, with the tasks in columns you drag.

  2. Each person sees everything that's theirs in one list, from all the boards.

Everyone knows what's theirs and by when.

Planning long jobs and seeing in time what delays the delivery

Before

You run three projects at once. On Friday you see that one is running late because of an order nobody wrote down.

After

You see each project as time bars, you know which task sets the delivery and you share out the week before the delay.

How it removes it
  1. You see each project as time bars, one per task, with the history of its stages.

  2. You share out the week between two fronts or two people and see which task sets the end date.

You see what delays the delivery before the customer notices.

I send tasks by WhatsApp and can't see progress

Before

You share out the work on WhatsApp. Every morning you ask each person how theirs is going.

After

You open the board and see who is working on what and what moved yesterday, without asking anyone.

How it removes it
  1. You see each task in its column: to do, in progress or done.

  2. You check which task moved and who moved it.

You know how everything is going without asking anyone.

The team coordinates through a personal WhatsApp group

Before

Your team announces changes in a WhatsApp group. Whoever starts on Monday doesn't see what was said before.

After

Every topic has its channel. Replies go in threads and anyone who joins reads everything that was said.

How it removes it
  1. Your team talks in named channels, one per project, customer or topic, inside BAI.

  2. You link each channel to its board or its task; private ones can only be read by their members.

Every conversation, next to its work.

How tasks and projects work, step by step

  1. You create a board per project or per customer, with the columns your team uses.

  2. Every task carries an owner, a date, a priority, a checklist, comments and files or photos.

  3. You link the task to its customer or to its sale in your customer database.

  4. Each person sees everything that's theirs in one list and receives an alert before each date falls due.

  5. Tasks that repeat, like the opening or the month review, are created by themselves.

  6. You measure the time on each task, with a stopwatch or by hand, and see each person's billable hours.

  7. You see progress on a board, a table, a calendar or bars, who moved each task and the progress of your goals.

  8. Your team talks in channels linked to their board or their task, with replies in threads.

What you need to get started with tasks and projects

  • Your team registered in BAI, each person with their own login.

  • Your projects or your customers, to create each one's board.

  • Your job-sheet models, if you want to use your own.

Tools it includes

  • Boards
  • Time bars
  • Time tracking

  • Team chat

Organising job sheets and my team's hours out on the road

A caterer sets up events away from base and writes down on paper who worked on each one and how many hours.

After

Every event is a task with its customer, and each person measures their time from their phone.

  2. The job sheet comes out with the customer's details and is signed when the job is done.

  1. You see each project as time bars, one per task, with the history of its stages.

  2. You share out the week between two fronts or two people and see which task sets the end date.

  2. You check which task moved and who moved it.

You know how everything is going without asking anyone.

The team coordinates through a personal WhatsApp group

Before

A restaurant's kitchen and dining room alert each other in a WhatsApp group, with photos, jokes and shift changes all mixed together.

After

Every topic has its channel inside BAI, and shift changes don't get lost among the photos.

How it removes it
  1. Your team talks in named channels, one per project, customer or topic, inside BAI.

  2. You link each channel to its board or its task; private ones can only be read by their members.

Every conversation, next to its work.

Frequently asked questions about tasks and projects

Does it work for a team that works out on the road?

Yes. Each technician sees their tasks for the day, measures their time and leaves the signed job sheet at the customer's house.

Can I run it on my phone?

Yes. In the BAI app for Android and iPhone you see your tasks and receive the alerts on your phone.

Is it the same as my team's clocking in?

No. Here you measure the time of each task and each customer; your team's clock-in and clock-out go separately, in working-hours control.

Does everyone see all the boards?

No. Each board is private or you share it with whoever you choose, and each change is only seen by whoever has access.
