— · the problem

It's not bad luck. It's the stack.

Three patterns we hear on almost every first call. Each has a measurable cost. None of it is your fault — it's how the tools you were sold were designed.

01
5 SaaS

Fragmented stack · five tools that don't talk

Notion for notes, HubSpot for leads, Calendly for bookings, Mailchimp for email, Stripe for billing. Five logins, five invoices, five DPAs nobody read. None of them understand what the others do. It's not bad luck — it's how the tools you were sold were designed.

02
45-90 min

Manual re-entry per new client

The lead comes in through the chatbot, the data travels to the CRM via an API that sometimes duplicates contacts or mismaps fields. Someone on the team rewrites the data by hand. In businesses like the ones we see, that's 45-90 minutes lost per new client — before you even start working with them.

03
saturday → monday

The response window you lose while sleeping

A client writes Saturday at 22:47 asking if you have a Tuesday slot. You see it Monday. They've already contacted three competitors. In appointment-based businesses, the conversion gap between same-day reply and two-day reply can be 3 to 1 — or worse.

About BAI Business

BAI Business is an integrated platform for SMBs and agencies: a CRM with visual pipeline, an AI receptionist chatbot available 24/7 in six languages, a booking system with native calendar, a document vault with e-signature, finance management with invoicing and subscriptions, and a marketing engine with social publishing and email — all connected without glue between modules.

Who we are

We're a young, professional team. Each of us with our own background — engineering, design, operations, business — who came together around the same idea: the tools most SMBs and agencies use today treat them like card numbers, not like real businesses. SaaS that charge per seat, integrations that break on every update, support that replies a week later with a copy-paste.

We built BAI because we believed it could be done better. Not with grand speeches or aggressive marketing — with software built well, honest decisions, and pricing that respects the actual size of each customer. The idea is simple: you grow because your business grows, not because you hire one more person.

We operate from Madrid with a distributed technical team. We believe in a fair community, where software accompanies the business without becoming one more invoice at the end of the month.

How we work

Our way of working is simple. When you sign up for BAI, you talk to people who know your workspace — not a tier-1 reading a script. Every technical decision that affects how you operate is made with care, documented, and communicated before it's implemented. And when something doesn't work, we tell you before you find out yourself.

We publish what we learn on the blog — terminology, practical cases, product decisions, industry news. Not to show off numbers or make noise, but so any business can make a well-informed decision about whether BAI fits — or doesn't.

Contact

To talk with us: info@baibusiness.com or book a 25-minute strategic call. No scripted demo, no pitch — a conversation about your current friction and whether this is a fit.

What's inside

Six modules. The same data across all of them.

Every module shares the same contacts, contracts, and conversations. Adding one doesn't create a new silo — it extends what you already have.

01

AI receptionist chatbot · 24/7

Captures leads, books appointments, and answers real questions in six languages — even at 3 AM. Integrated with CRM and calendar without intermediate glue.

02

CRM with visual pipeline

Workspace-scoped configurable pipelines, automatic lead scoring, negotiation engine that suggests when to close. Per-stage SLA rules so leads don't get stranded.

03

Document vault + e-signature

Drag a document, AI extracts the data, generate the contract, send for signature. The flow fits on a single screen. Full audit trail at every step.

04

Finance management

Invoicing, recurring subscriptions, expenses, Stripe payment links, bank reconciliation, and a CEO dashboard with 90-day projected cash-flow.

05

Marketing engine

SEO analysis, scheduled social publishing, email campaigns, editorial content optimization. Managed from the same place as the CRM.

06

Security and compliance

Bank-grade encryption, GDPR by default, fraud detection on sensitive operations, forensic audit trails. Strict workspace isolation.

BAI exists so the conversation "let's add another tool" becomes unnecessary. Not to be another tool.
