What a CMS is and what it does for your business
What a CMS is, why it decides whether you can change your website yourself, what it should let you do and when you do not need one.

Today I want to talk about what a CMS is, an acronym that sounds like it belongs to IT people and that decides something very practical: whether you can change your website yourself or whether every change depends on someone doing you a favour.
A CMS (content management system) is the software used to create and edit a website's content without programming: changing a text, uploading a photo, adding a page, publishing an article. If your website has a CMS, you do those things yourself from a screen. If it does not, every change is a phone call, a quote and a wait.
Why it matters
Almost every company already has a website. According to Spain's National Statistics Institute (INE), 84.5% of companies in Spain with 10 or more employees and an internet connection have a website (first quarter of 2025, accessed on 11 October 2026). For those with fewer than 10 employees, the INE table gives 37.0% with a website. Among companies with 10 or more employees, having a website is no longer the question. The question is who changes it and how long it takes.
Imagine a restaurant that changes its menu every season and its prices when ingredients go up. If, to change a dish, it has to write to whoever built the website and wait three days, it will have the old menu online for three days, or it will always have it out of date because it feels like a chore. (An invented example to explain the idea, not a real customer.)
What a CMS should let you do
Before choosing one, or before accepting the one on your website, check that you can do the following without help:
- Edit text and images on any page.
- Create new pages, for example one for a service you launch.
- Publish blog posts and schedule them.
- Change the title and description of each page (what Google shows), without touching code.
- Give different permissions to each person: so that whoever writes cannot break the configuration.
- Undo a change: go back to the previous version if you make a mistake.
If any of these needs you to call someone, your website depends on that person.
Where it gets complicated
A CMS does not free you from everything. The website has to be kept up to date, backed up and you need to control who gets in. The more add-ons, the more things can fail. That is why whoever sets it up should explain to you, before handing it over, what you have to do and what they do.
When you do not need one
If your website is a single page that never changes (name, phone, address), a CMS is more tool than you need. If it changes twice a year, it may be worth paying for the change. If you change prices, offers or content every month, you need to be able to do it yourself.
