A connection tool such as Zapier, Make, n8n or Activepieces is for linking programs from different providers. An integrated platform automates what happens inside it. The useful question is not which is better, but where the thing you want to automate happens.

When a connection tool is still the answer

There are three cases in which connecting with an external tool is the right thing to do.

  • Linking programs from different providers that don't talk to each other. An alert in your chat when someone fills in a form from another provider, or a spreadsheet that updates with a payment. Zapier says on its page that it connects more than 9,000 apps (accessed on 2026-10-10).
  • Trying out an automation you don't know whether you will keep. The free plans let you experiment: Zapier's includes 100 tasks a month and Make's 1,000 credits a month (accessed on 2026-10-10).
  • Connecting a specific program from your sector. If that program is not in your platform, an external connector saves you from building something custom.

When the glue costs more than the system

Paying a connection tool to join the programs you run your business with, such as the one for customers, the one for appointments, the one for invoices and the one for customer service, brings costs that don't show in the price of the plan.

  • Diagnosis time. When something fails, you have to find out in which of the programs it happened.
  • Repeated data. A customer who changes company forces you to correct the detail in every program, or to build another automation to spread it.
  • Usage that grows with use. Each tool measures usage in a different unit, such as tasks, credits or runs, and the cost rises with volume.

A rule of thumb of ours, not a measurement: if the same business task forces you every week to coordinate more than three programs, it is worth considering doing it inside a single platform.

What it means to automate inside the platform

Inside an integrated platform, an automation does not connect programs: it is triggered by something that happens in the platform itself and acts on what is already in it. According to BAI's sheet for ready-made automations, you choose what starts it, such as a new customer, a completed appointment or a payment, and what happens next, such as sending an email, waiting, tagging or creating a task.

An example from that sheet: when the appointment is completed, the email with the instructions goes out, the task for the follow-up call is created and the customer is tagged, without anyone having to remember. Another, in hospitality: after each fulfilled booking a thank-you email goes out, and if the table doesn't show up, another proposes a new date.

What BAI does not replace
